First reply after a missed call
The first text someone gets after you miss their call. Keep it short and ask one question.
{Business name}: Sorry we missed your call! This is our text line - what do you need help with? Reply STOP to opt out, HELP for help.
{Business name}: Sorry we couldn't pick up - we're on a job. What can we help you with? Reply STOP to opt out.
{Business name}: Thanks for calling. We missed you but we're here by text. What's going on, and what's the address? Reply STOP to opt out.
After hours
For calls that come in after you close. Tell them when you'll follow up.
{Business name}: Thanks for calling. We're closed for the night and open again at 8 AM. Tell us what you need and we'll get back to you first thing. Reply STOP to opt out.
{Business name}: Sorry we missed you - our office is closed right now. Reply with what you need and the best time to reach you tomorrow. Reply STOP to opt out.
{Business name}: Thanks for reaching out this weekend. We're back Monday morning. Send us a quick note about the job and we'll reply then. Reply STOP to opt out.
Emergency calls
Only promise what you actually offer. Change the wording to match your emergency policy.
{Business name}: Sorry we missed your call. If this is an emergency, reply URGENT with your address and what's happening, and the owner will call you back. Reply STOP to opt out.
{Business name}: Got your call. Is water, power or heat out right now? Reply with a quick description and we'll call you back as soon as we can.
{Business name}: Thanks - we're calling you back shortly. If you smell gas or see sparks, leave the building first, then call 911 or the gas company from outside.
Booking confirmation
Send these once the customer picks a time.
{Business name}: You're booked for Tue at 10:00 AM. We'll text when we're on the way. Reply here if anything changes.
{Business name}: Confirmed - we'll see you Thu between 1 and 3 PM at 412 Maple Ave. Reply C to cancel or R to reschedule.
{Business name}: Reminder: we're scheduled for tomorrow at 9:00 AM. Please make sure we can get to the work area. See you then.
Can't help / referral
Saying no politely keeps your reputation good.
{Business name}: Thanks for thinking of us. That job is outside what we do, so we're not the right fit. We'd suggest calling a licensed specialist in your area.
{Business name}: Sorry - we don't serve that area. We'd rather tell you now than keep you waiting. Good luck with the project.
{Business name}: Thanks for your call. Our schedule is full for the next few weeks. If you can wait, reply and we'll offer the first open times.
Rules for texting callers
- Only text people who contacted you. A missed call from someone is a conversation they started. A list you bought is not.
- Identify your business. Start every text with your business name so people know who's writing.
- Honor STOP. If someone replies STOP, stop texting them. Include "Reply STOP to opt out" in the first text.
- No marketing without consent. Replying about someone's request is fine. Sending promotions needs their clear permission first.
